Henkilötietojen käsittelyn tarkoitus
Henkilötietoja kerätään Sommelo ry:n jäsentietojen ylläpitämiseksi. Tiedot mahdollistavat yhdistyksen sähköpostilistalla olemisen, yhdistyksen kokouskutsujen ja tiedotteiden lähettämisen jäsenille ja yhdistyksen jäsenyyden varmistamisen, sekä muut mahdolliset jäsentietoja vaativat asiat.

Rekisteri sisältää seuraavat tiedot jäsenistä:

Rekisteriä käytetään vain Sommelo ry:n jäsentietokantana. Tietoja käytetään vain jäsenviestintään ja toteamaan henkilöiden jäsenyys järjestössä.
Jäsenen tietoja säilytetään rekisterissä niin kauan kuin henkilö on jäsenenä yhdistyksessä tai kuin tietojen säilyttäminen on muuten tarpeellista järjestötoimintaan liittyen. Joitakin jäsenen tietoja voidaan joutua säilyttämään pidempään kirjanpito- ja muiden lakien johdosta.
Jäsenhakemuslomakkeeseen syötetyt tiedot siirretään jäsenrekisteriin henkilön jäsenyyden hyväksynnän yhteydessä. Näitä tietoja ei säilytetä nettilomakkeella pidempään kuin tarpeellista jäsenyyden hyväksymisen tai hylkäämisen ajan.
Rekisterissä ei säilytetä arkaluontoisia tietoja.
Tietojen säännönmukaiset luovutukset
Mistä rekisterin data on peräisin: Rekisteriin tuleva tieto syötetään sinne jäsenen itse täyttämän jäsenhakemuksen mukaisesti, kun henkilö hakee Sommelo ry:n jäsenyyttä tai päivittää tietojaan jäsenrekisteriin.
Tietojen luovutus tai tietojen siirto EU:n ja ETA:n ulkopuolelle
Henkilökohtaisia tietoja ei luovuteta kolmannelle osapuolelle paitsi voimassa olevan lainsäädännön sallimissa tai velvoittamissa rajoissa. Henkilötietoja siirretään Euroopan unionin ja Euroopan talousalueen ulkopuolelle Google Drive- palveluun jäsenhakemuslomakkeesta.
Rekisterin suojauksen periaatteet
Tämä on sähköinen rekisteri. Rekisteriä saavat käyttää vain rekisterin omistaja sekä omistajan valtuuttamat henkilöt, joilla on tehtäviensä vuoksi tarpeellista päästä tarkastelemaan rekisterin tietoja. Heillä on rekisterin käyttäjätunnukset ja salasanat. Rekisterin tiedot on suojattu asianmukaisesti ajantasaisen tietotekniikan tietoturvalla.
Oikeus henkilötietojen tarkastuksiin
Henkilötietolain mukaan rekisteriin kirjatulla jäsenellä on oikeus tarkastella omia tietoja ja korjata niissä olevia virheitä. Hänellä on oikeus kieltäytyä suoramarkkinoinnista. Jos rekisteröijät haluavat käyttää oikeuttaan kieltää tai saada lisätietoja henkilötietojensa käsittelystä, he voivat ottaa yhteyttä yllä mainittuun henkilöön, joka käsittelee rekisteritietoja. Jos tietojen rekisteröijä haluaa soveltaa oikeuttaan tarkastaa tietoja, hänen on esitettävä henkilötietolain 28 §: n mukaisesti henkilökohtaisesti allekirjoitettu tai muutoin vastaavalla tavalla varmennettu asiakirja, josta käy ilmi tämä tarkastuspyyntö tai vastaavasti käy henkilökohtaisesti rekisteristä vastaavan henkilön luona.

Purpose of handling personal data
Personal data is collected, handled and used with the customer’s consent for the purpose of creating a private register for attending re-enactors and sellers and collecting their information to be used in Pukkisaari market practical arrangements.
Register data content
The register contains the following data:
•Name
•Email address
•Phone number
•Group name
•Details for participating in different activities at the market
•Details for accommodation
•Details for seller’s arrangements
•Details for food servings, such as allergies

Register data accumulate from: Registrants themselves
Normal relinquishment of data and transfer of data outside the EU and ETA
Personal data shall not be relinquished to third parties except as within the permitted or obligated limits of the valid legislation. Personal data shall be transferred outside the European Union or the European Economic Area, namely to Google Drive service.
Register protection
The register is in IT format. Right of use to the register is held only by those in the service of the registrar and other designated persons who require the data in their tasks. They have the user IDs and passwords at their disposal. The information is protected by means of appropriate and up-to-date information technology-based solutions and data security.
Right to inspection and prohibition
According to the Personal Data Act, the customer has the right to inspection and error correction as well as the right to refuse both the delivery of electronic messages concerning offers and benefits and the use of personal data for direct marketing. If registrants wish to apply the right to prohibit or obtain more information with regard to the handling of their personal data, they may contact the person mentioned above who handles register matters. In the event that the customer wishes to apply his/her right to inspection, s/he must, in accordance with section 28 of the Personal Data Act, present his/her request for inspection in a personally signed or otherwise similarly certified document, or visit the registrant personally.
